Privacy Policy

Sideline Captain LLC (“Sideline Captain,” “we,” “us,” or “our”) provides a private team-management service for adult coaches, team staff, parents, and guardians. This Privacy Policy explains what information we collect, how we use and share it, and the choices available to you.
1. Who may use Sideline Captain
Sideline Captain accounts are intended only for adults who are at least 18 years old. Children may not create accounts or submit information directly to Sideline Captain.
Adult coaches, staff, parents, and guardians may provide information about youth players when they are authorized to do so. If you believe a child has created an account or submitted information directly, contact us at support@sidelinecaptain.com.
2. Information we collect
Account and profile information
We collect adult users’ names, email addresses, passwords through our authentication provider, account roles, profile images, team memberships, and account preferences. Sideline Captain does not receive or store readable account passwords.
Team and player information
Coaches, staff, parents, and guardians may provide team names, seasons, logos, rosters, player names, birth dates, calculated ages, jersey numbers, allergy information, parent or guardian names, phone numbers, email addresses, attendance responses, and snack assignments.
Events and team content
We collect event dates, times, types, opponents, scores, locations, home-or-away status, announcements, private messages, uploaded documents, rulebooks, photos, videos, captions, media feedback, and reports of inappropriate content.
Technical information, cookies, and local storage
Our hosting and security providers may process IP addresses, browser and device information, request timestamps, diagnostic information, and security events. We use strictly necessary session cookies to authenticate users, maintain secure sign-in sessions, and protect accounts. We also use browser local storage to remember items such as display preferences, selected visual settings, and a pending team invitation.
We do not currently use advertising cookies or targeted-advertising trackers. You may configure your browser to block or delete cookies and local storage. If you do, sign-in, team invitations, saved preferences, or other parts of Sideline Captain may not work correctly or may need to be re-entered.
3. How we use information
We use information to:
- Create and secure accounts and private team spaces.
- Connect approved adults with their teams and players.
- Operate schedules, RSVPs, rosters, snack sign-ups, announcements, private messages, scores, event albums, and downloads.
- Send account, invitation, support, and safety-related email.
- Provide maps, address suggestions, weather, and the Rulebook Assistant.
- Moderate reported content, prevent abuse, troubleshoot problems, and improve reliability.
- Comply with legal obligations and protect users, Sideline Captain, and others.
4. Information visible within a team
Sideline Captain is designed for approved team communities. Depending on role and feature, approved team members may see player names, jersey numbers, attendance status, parent or guardian contact information, announcements, snack volunteers, event information, scores, and team photos or videos.
Information a parent, guardian, coach, or team organizer supplies about a player—including allergy or other health-related team information—is made available to authorized coaches and team staff for team administration and safety. A combined allergy list without player attribution may also be shown to approved team members in Snack Sign-up so families can select appropriate food. Do not use Sideline Captain for medical emergencies or as a substitute for directly notifying team staff of urgent health or safety needs.
Coaches and authorized staff receive additional roster, administrative, access-approval, and moderation controls. Private messages are shown only to their sender and intended recipients. Users should share only information appropriate for their team community.
5. How we share information
We do not sell personal information. We do not share personal information for cross-context behavioral advertising or targeted advertising.
We disclose information only as needed to operate the service, including to:
- Supabase for authentication, database, and file storage services.
- Cloudflare for hosting, content delivery, security, and image processing.
- Resend for transactional team invitations and safety notifications.
- OpenAI when authorized team staff upload a rulebook, add supplemental team guidance, and users ask the Rulebook Assistant questions. Rulebook files, supplemental guidance, questions, and relevant rulebook excerpts may be processed to provide answers. Users should not include personal or sensitive player information in Rulebook Assistant questions, rulebooks, or supplemental guidance.
- Mapping, geocoding, and weather providers, including OpenStreetMap, the U.S. Census Geocoder, Photon/Komoot, Open-Meteo, the National Weather Service, and ZIP-location services, to return maps, address results, or forecasts.
We may also disclose information when required by law, to respond to valid legal process, to investigate fraud or safety concerns, to enforce our policies, or in connection with a merger, financing, acquisition, or sale of business assets subject to appropriate protections.
6. Photos, documents, and user content
You retain the ownership rights you have in photos, videos, documents, messages, and other content you submit. By uploading or posting content, you confirm that you own it or have all permissions needed to share it, including permission concerning any person or child depicted or identified.
You grant Sideline Captain LLC a non-exclusive, worldwide, royalty-free license to host, store, reproduce, format, display, transmit, and otherwise use that content only as reasonably necessary to operate, secure, moderate, support, and improve Sideline Captain and to make the content available to the team members you intended. This license permits us to use service providers that perform those functions for us. It does not authorize us to use identifiable youth photos or videos in public advertising without separate permission. The license ends when the content is deleted, except for limited backup, security, legal, or technical retention.
Media uploaders and team staff can remove photos or videos, and approved team members can report inappropriate media. We may restrict or remove content that violates our Terms of Service, infringes rights, creates a safety concern, or is otherwise unlawful. Coaches and staff may upload announcement attachments and team rulebooks. Do not upload Social Security numbers, financial information, medical records, or other information that is unnecessary for team coordination.
7. Retention and deletion
We retain information while an account or team is active and as reasonably necessary to provide the service, maintain security and audit history, resolve disputes, and meet legal obligations. Retention periods may vary by information type. Deleted messages may leave a limited audit notation showing that a message was deleted without retaining the message body in the team interface.
Users may delete certain content using available controls. To request account deletion or the review, correction, or deletion of personal or player information, email support@sidelinecaptain.com. We may need to verify your identity, authority, or relationship to the player before completing a request.
8. Security
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, team-based permissions, secure session cookies, rate limits, restricted file access, and monitoring for misuse. No online service can guarantee absolute security. Please use a unique password, protect your account, and notify us promptly of suspected unauthorized access.
9. Your choices and responsibilities
- You may update your profile and password in Account Settings.
- Coaches and staff may correct roster and team information.
- You may request access, correction, or deletion by contacting support.
- You may choose whether to upload optional profile images, team logos, documents, photos, and videos.
- Team administrators are responsible for approving only legitimate team members and keeping roster information accurate.
- Coaches and team organizers must have appropriate authority to upload roster and contact information. Parents and guardians must have authority to submit information about a player and direct its sharing as described in this policy.
10. Children’s privacy
Sideline Captain is operated for adults and does not knowingly collect personal information directly from children under 13. Youth player information is supplied and managed by adults for team-administration purposes. If we learn that a child submitted personal information directly, we will take reasonable steps to delete it. Parents and guardians may contact us to review or request deletion of information associated with their child.
11. Changes to this policy
We may update this Privacy Policy as Sideline Captain evolves. We will post the revised policy with a new effective date and provide additional notice when a change is material.
